A shop billing data export is useful only if you can open it, understand its columns and match its figures to your records. Test a small export while your billing app is accessible, then save the files you need for your accountant or a planned software move. This guide covers file formats, missing fields and a simple check of exported totals.

Shop billing data export: start with the purpose

Before clicking Export, write down what the recipient needs. An accountant checking sales needs different information from someone moving your item catalogue to another app.

Treat these as checks for the relevant export, rather than assuming every file carries every field. A party statement, for example, does not necessarily contain the customer’s full address or contact record.

When comparing products, add an export test to your free versus paid billing software checklist. Ask to see the actual file before committing to a plan.

Choose a format you can use

CSV stores rows and columns for spreadsheet work or an import process. It is useful for checking many records, but opening it in a spreadsheet can change how dates and codes appear. Import reference numbers, phone numbers and codes as text where needed so leading zeroes survive.

Excel is useful when the recipient wants a workbook. Check that amounts behave as numbers when added and that Indian-language names remain readable.

PDF keeps a report readable for viewing or printing. Keep a spreadsheet version as well if the recipient needs to sort or recalculate the rows.

Preserve the original downloaded file. Work on a copy when changing column names, sorting records or preparing another application’s import template.

What Yojika exports, and what to check

On the desktop app, Utilities → Export Items saves the live item catalogue as CSV or Excel. It includes names, descriptions, HSN/SAC codes where exportable, units, GST rates, sale and purchase prices, Price Type, stock, low-stock levels, goods/service status and category.

There is a detail worth checking before using that file elsewhere: the Opening Stock column contains the item’s current stock at export time. Record when you exported it; it is not a historical opening-stock snapshot.

The catalogue export omits fields such as barcodes, item photos, batch and serial details, stock by storage location, secondary-unit conversions, compensation cess and wholesale prices. If you rely on those fields, list them separately in your migration plan. A successful file import alone does not prove that the catalogue is complete.

For transactions, open Reports, choose the report, set its date range and check any filters. Report exports are available as CSV, PDF and Excel. For an individual party, the statement has an Export CSV option. Export the report or statement that answers your question; a statement is not a complete party master export.

Worked example: checking a Pune shop’s sales file

Suppose a Pune retailer exports a report for three completed local sales on 05/10/2026. These are illustrative final bill amounts already recorded in the books, not suggested product prices or GST rates. The short references below are labels for this check.

Check the arithmetic: ₹2,500 + ₹3,750 + ₹1,250 = ₹7,500. Receipts against these bills total ₹6,500, leaving ₹1,000. Compare the same columns in the app and the file. Exclude any exported totals row when adding the individual rows yourself.

If the file shows only ₹6,250 of bills, look for the missing ₹1,250 row and inspect the filters. Do not insert a balancing entry just to make the total agree. Also, receipts against selected bills are not automatically the cash or bank collections for that day: payments may have different dates.

For ordinary taxable sales where both the supplier location and place of supply are Maharashtra, CGST and SGST apply; CBIC’s supply FAQ, question 85, explains this same-state treatment. Compare tax amounts with the original bills in the appropriate report. Confirm current product rates and any correction with your CA before changing tax data.

Keep a short handover note

Save the export with a note of the shop, report name, selected period, filters and export date. Open it outside the billing app and check one familiar document, one balance and one item with an Indian-language name, if you use them.

For a software move, ask the receiving provider which columns its import accepts and how it treats existing records. Test a few rows in a separate trial dataset before importing into live books. Keep your full billing-data backup as a separate recovery measure.

Plan access as well as file formats. Yojika works during the licence grace period, but once that ends the app locks, including its export screens. Save required exports before access ends. Review the current plans and billing features, then test this workflow with your own sample records.

FAQ

Is a billing data export the same as a backup?

No. An export contains the fields included in that report or catalogue file. A full backup serves a different purpose: restoring the application’s stored data through its supported restore process.

Should I choose CSV, Excel or PDF?

Use CSV or Excel when you need to sort rows and check totals. Use PDF for a readable report to share or print, and check the recipient’s required format before sending it.

Can I import a Yojika export into any other billing app?

There is no universal compatibility guarantee. Compare the destination app’s template with the exported columns, identify missing fields and test a small sample before moving your records.

Can I export from Yojika after my licence expires?

The app remains usable during its grace period. After that period ends, the app locks, including access to export screens, so save the files you need before access ends.
