Choose free vs paid billing software by comparing the work your shop needs with the total payable cost over a year. A free plan can be enough; paying more needs a practical benefit. This guide covers limits, recurring costs and access to records.

Neither the word “free” nor a price tag tells you whether a tool will suit your counter. Read the current plan terms and test the exact edition you intend to use. Do not assume a feature shown during a trial remains available on the free plan.

Write down your normal monthly bill count and a realistic busy-month estimate. Add your printer, the reports you hand to your accountant, and the number of devices you need. These are the requirements against which both options should be priced.

Build a one-year cost sheet

Ask each provider for the total payable amount for the same twelve-month period. If a quote excludes taxes, request the final amount before comparing it with a tax-inclusive price.

Enter zero where there is no charge. These are questions to check, not claims that every free or paid product imposes these costs.

Keep shared costs, such as paper for an existing printer, outside the software comparison. Add hardware costs if one option requires equipment the other does not.

Worked example: a Pune shop compares two offers

Imagine a stationery shop in Pune expecting 40 bills a day across 26 trading days: 40 × 26 = 1,040 bills a month. The owner needs receipt printing and a monthly report export.

The free-base total is ₹0 + ₹1,200 + ₹600 = ₹1,800. The paid offer costs ₹1,800 more per year, or ₹150 more per month. If both handle the shop’s work equally well, the lower-cost offer is reasonable. Paying more needs a practical reason, such as an included task that otherwise takes extra work.

Before deciding, the owner checks whether each offer supports 1,040 monthly bills and the expected festival peak. A low headline fee is little help if the selected plan cannot handle the shop’s volume.

For the billing test, assume an ordinary taxable sale with both supplier location and place of supply in Maharashtra: CGST and SGST apply. This basic treatment is confirmed in CBIC’s FAQ, question 85. Use your accountant’s checked item rates when testing; confirm current rates and invoice requirements on gst.gov.in or with your CA. Check access to records before you commit

An export and a backup solve different problems. A readable report helps you inspect transactions outside the app. A backup helps restore data in a compatible application. Neither automatically guarantees that a different billing product can import everything.

During evaluation, open an exported report yourself. Check whether bill numbers, dates, amounts and customer references are usable. Ask what happens to viewing, printing and exporting after a trial or licence expires. Keeping files on your computer and retaining access through the app are separate questions.

Keep readable records and backups before switching products. Confirm the destination’s import format before paying someone to move your catalogue or balances.

Try the actual counter routine

Use a few clearly labelled sample items during evaluation. Make a bill, print it on your printer, find it again and export the report you need. If offline billing matters, test the supported workflow with the internet disconnected after initial setup.

Write down any step that needs a higher plan or outside help. Ask the provider to confirm uncertain terms before moving your day-to-day billing.
